Dear Mr. Patel, I am writing because the heating in apartment 304 has not been working since Tuesday evening. At first, I thought the thermostat was set incorrectly, but I checked it several times and changed the batteries. I also checked the breaker panel, and nothing seems to be switched off. The vents are open, but no warm air is coming out. The apartment is now very cold, especially at night. I am wearing a winter coat indoors, and the bathroom pipes feel extremely cold. I am worried they may freeze if the temperature continues to drop. I also have a young child, so this situation is becoming difficult for us. Could you please arrange an urgent repair today? If the technician cannot come immediately, please provide a safe space heater or another temporary solution. I am available after 3:00 p.m., and you may enter earlier if you call me first. Please let me know when someone will attend. Thank you, Arjun Singh

Hello Ms. Chen, I noticed that I am scheduled to work on Thursday, August 14, from 9:00 a.m. to 5:00 p.m. Unfortunately, I have an important medical appointment at 11:30 a.m. that day. The appointment was booked several months ago, and it is difficult to change. I entered this date in the staff availability calendar on June 20 and also mentioned it to Daniel when he was preparing the summer schedule. I understand that the department is busy, so I do not want to leave the team short. I have spoken with Priya, and she may be able to take my Thursday shift if I cover her Saturday shift. I am waiting for her final confirmation. If that exchange is not possible, I could work before the appointment, come in afterward, or take another open shift later in the week. Please let me know which option works best. I am willing to help contact other staff members so the shift is covered. Thank you, Maya

Your neighbourhood in Surrey has had repeated problems with speeding near an elementary school. Write an email to the city transportation office. Dear Transportation Department, I am writing about speeding on 128 Street near Cedar Grove Elementary School in Surrey. The problem is worst between 8:00 and 9:00 a.m. and again from 2:30 to 3:30 p.m., when children are arriving or leaving school. I regularly see drivers travelling much faster than the posted school-zone limit. Some vehicles pass others near the crosswalk, and several drivers do not stop fully when the crossing guard is present. Last week, a car stopped suddenly only a few metres from two students who were crossing with their bicycles. Many children walk in this area, and parents also park along the street, which reduces visibility. Residents using the bus stop are at risk as well. I am worried that someone will be seriously injured if nothing changes. Please consider installing a speed display sign, adding raised crosswalks, and increasing enforcement during school hours. Better road markings and an additional warning sign before the school zone may also help. Thank you for reviewing this safety concern. Sincerely, Nina Kaur

Sample question 04

Your child attends a public school in Edmonton, and the school bus has arrived more than twenty minutes late several times. Write an email to the school principal. Dear Principal Morgan, I am writing about repeated delays on school bus route 17. During the past three weeks, the morning bus has arrived more than twenty minutes late on six different days. Yesterday, it came at 8:42 a.m. instead of 8:15 a.m. These delays are causing problems for our family. My child waits outside in cold weather and becomes worried that the bus will not come. I also have to remain home longer, which makes me late for work. On two occasions, I finally drove my child to school because we had no information. The main problem is that families are not receiving timely updates. The transportation app often shows the bus as on time even when it is far behind schedule. We have not received texts or emails explaining the delays. Could the school please investigate this route with the transportation company? I would also appreciate accurate app updates or a message whenever the bus is delayed more than ten minutes. Please let parents know what action will be taken. Sincerely, Ravi Mehta

Hi Daniel, I wanted to ask you about the large delivery boxes that have been left outside your unit several times this month. Yesterday, three boxes stayed in the hallway from the morning until late evening. The hallway is narrow, and the boxes make it difficult for people to pass. One neighbour uses a walker, and she had to turn sideways to get around them. I am also worried that the boxes could block the exit during an emergency or cause someone to trip, especially at night. I understand that deliveries sometimes arrive while you are at work and that large boxes are not easy to move immediately. However, could you please arrange for them to be placed inside your unit or taken to the recycling room as soon as possible? You may be able to add delivery instructions asking the driver to leave packages with the concierge. If you are away, I would also be willing to move a box inside your doorway if you message me beforehand. Thanks for understanding and helping keep the hallway clear. Best, Leah

Dear Program Coordinator, I am enrolled in the evening Bookkeeping Foundations course, section B14. The classes scheduled for September 9, 16, and 23 were all cancelled. In each case, students received an email only a few hours before the class. I arranged my work schedule and child care so I could attend on Tuesday evenings. Because the notices came late, I still had to pay for child care and could not change my work hours back. We have now missed three classes, and I am worried that the course will not finish on time. Could you please explain why the sessions were cancelled and whether the instructor will continue teaching the course? I would also like a written plan showing the replacement dates and revised completion date. If the college cannot provide all the promised classes within a reasonable schedule, please let students know whether we can transfer to another section or receive a full refund. I would appreciate an update before the next scheduled class. Sincerely, Farah Ahmed

Dear Customer Service, I am writing about a duplicate payment for the Adult Beginner Swimming program at the North Harbour Recreation Centre. I registered online on October 2 and paid $126 by credit card. The first charge appeared on October 2, but another charge for the same amount appeared on October 4. I only registered one person for one program, and I received only one registration confirmation. I checked my online recreation account, and it also shows just one active enrolment. My bank statement now includes two separate charges with the same recreation-centre description. I can provide the registration confirmation, screenshots from my account, and a copy of the credit-card statement showing both transactions. Please let me know if you need any other information. Could you refund the second $126 charge to the same credit card? I would also appreciate an email confirming when the refund has been processed and how many business days it may take to appear. Thank you for your help. Sincerely, Emily Park

Sample question 08

Dear Customer Support, I am writing about order NP-48271 for the Maple Home Office Desk. The package was delivered to my address in Mississauga on November 6. When I opened the box, I found a long crack across the top panel. The outside of the box also had a crushed corner, so the damage may have happened during shipping. The other pieces appear to be in good condition, and I have not assembled the desk. Returning the complete package would be difficult because the box is very heavy and some of the packing material was damaged when I opened it. I do not have a vehicle large enough to take the desk to a shipping location. Could you please send a replacement top panel instead of requiring the full desk to be returned? I can provide photographs of the panel, box, shipping label, and all other parts. If a replacement part is not available, please arrange home pickup and either send a new desk or issue a full refund. Thank you, Omar Ali

Sample question 09

Hello Maria, I am writing about the new volunteer schedule at the Saskatoon Community Food Bank. Since the schedule changed this month, there are many volunteers between 9:00 and 11:00 a.m., but very few from 11:30 a.m. to 2:00 p.m. This creates problems because the lunch period is often busy. Clients wait longer, and the volunteers who remain have to manage registration, food boxes, and clean-up at the same time. Some people are skipping their breaks because they do not want to leave only one person at the front. Last Thursday, more than twenty clients arrived between noon and 1:00 p.m., but only two volunteers and one staff member were available. The line reached the entrance, and several food boxes were prepared late. Could we move some morning volunteers to the middle shift or create shorter shifts from 11:00 a.m. to 2:00 p.m.? A sign-up limit for the early shift may also help. I am happy to help contact volunteers or test a revised schedule. Best, Jordan

Sample question 10

Dear Facility Manager, I am writing about my rental of the Riverside Community Hall on December 7 from 2:00 to 8:00 p.m. for a family celebration. The booking agreement included access to the kitchen, projector, and twenty folding tables. However, the kitchen was locked when we arrived, the projector would not turn on, and only fourteen tables were available. We called the after-hours number twice but did not receive a response. These problems affected the event. We had to keep hot food in our cars until a volunteer found an extension cord for warming trays. We could not show the planned family video, and guests had to share crowded tables. Several people also helped move furniture from another room. Because the promised facilities were not provided, I am requesting a partial refund of the rental fee. Please also explain why the support number was unanswered and confirm what steps will be taken before future bookings. I can provide photographs and a copy of the rental agreement. Sincerely, Harpreet Gill

Sample question 11

Your employer in Montreal is introducing a mandatory return to the office five days a week. Write an email to your department director requesting a flexible arrangement. Dear Ms. Roy, I am writing about the new requirement to work in the office five days each week. For the past two years, I have worked from home on Mondays and Fridays and attended the office on the other three days. My work has remained on schedule under this arrangement. I have met all project deadlines, attended online and in-person meetings, and received positive feedback in my last performance review. I also come to the office whenever an important client meeting requires it. Working in the office five days would create a serious difficulty because I provide morning care for my father twice a week. I can arrange other help sometimes, but full-time care would be expensive and difficult to organise quickly. Could I continue working remotely on Mondays and Fridays while attending the office Tuesday through Thursday? I would remain available during normal hours and come in on remote days when an important meeting requires my presence. I hope we can discuss this arrangement before the new policy begins. Sincerely, Amira Haddad

Sample question 12

Dear Waste Services, I am writing about two missed garbage collections on Maple Ridge Crescent in Brampton. Our scheduled collection days were January 8 and January 22, but the garbage bins on most of the street were not emptied. Residents placed the bins at the curb before 7:00 a.m., with the lids closed and enough space between them. There were no parked cars blocking access, and recycling was collected normally on both dates. Because the garbage was left for another week, several bins became too full. Some residents had to keep extra bags in their garages, and animals opened one bag left beside a bin. The waste and smell are becoming a neighbourhood problem. Please arrange a special collection as soon as possible and tell us when the truck will arrive. I would also appreciate an explanation for the repeated missed service. Could the route supervisor confirm that Maple Ridge Crescent is included correctly and provide a way to report future missed pickups quickly? Thank you for your assistance. Sincerely, Paul Nguyen

Dear Ms. Lewis, It was nice meeting you at the Ottawa Business Network event on Thursday evening. We spoke after the panel about the client-services coordinator position that your organisation expects to post next month. I was interested in the role because it includes scheduling, customer communication, and solving service problems. In my current position, I manage appointments for a busy clinic and respond to questions by phone and email. I also created a tracking sheet that helped our team reduce missed follow-ups. Before this job, I worked in retail customer service for three years. Our conversation made me more interested in learning about your team and the upcoming position. I have attached my résumé for your reference. When the posting becomes available, I would be grateful if you could let me know. If you have time, I would also appreciate a short phone or video conversation to learn more about the main priorities for the role and the application process. Thank you again for speaking with me. Best regards, Sonia Verma

Sample question 14

A new late-night fitness studio has opened below your apartment in Victoria, and loud music is disturbing residents. Write an email to the studio owner. Dear Studio Owner, I live in apartment 206 directly above your new fitness studio. Since the studio opened, loud music and strong bass have been heard in our unit most evenings, especially during classes from 8:30 to 10:30 p.m. The sound travels through the floor and makes it difficult for my family to sleep. My partner starts work early, and our child has been waking during the final class. We can also feel vibration in the bedroom when the music is loud. I understand that music is important for fitness classes and that evening sessions may be popular with your customers. However, the current volume is too high for a mixed residential and commercial building. Could you please lower the bass after 8:00 p.m., move speakers away from the ceiling, and test the sound inside the apartments above? Acoustic mats or panels may also reduce vibration. It would help if the last high-volume class ended earlier. I hope we can solve this directly. Please let me know what changes you can make. Sincerely, Grace

Sample question 15

Dear Camp Director, I am writing about the pickup change for the Lakeside Summer Camp on July 18. I arrived at the usual entrance at 4:30 p.m., but no staff or children were there. After waiting and calling the main number, another parent told me that pickup had been moved to the east parking lot. I did not receive an email, text message, or phone call about this change. The only notice was apparently posted on a board inside the recreation centre, which parents do not see when they remain outside for pickup. This situation was worrying because I did not know where my daughter was or whether the group had returned safely. Several parents were also waiting at the wrong location, and some children became upset when their families were late. Please create a clear procedure for future changes. Parents should receive a text and email, and staff should remain at the original location to direct anyone who misses the message. Please confirm how the camp will prevent this from happening again. Sincerely, Melissa Brown

01

What to examine in a sample

Start by matching each instruction point with the sentence or paragraph that answers it. Then trace the response's main purpose, paragraph sequence, examples, transitions, and tone. Finally, notice vocabulary and grammar in context rather than collecting isolated impressive phrases.

02

Use a three-pass study method

On the first pass, read for meaning and task completion. On the second, label the function of each paragraph and underline supporting detail. On the third, identify one language pattern you can use naturally, then close the sample and write a new response to a different prompt.

  • Compare lower- and higher-level samples for development, not decoration.
  • Rewrite an idea in your own words.
  • Check whether transitions express a real relationship.
  • Keep a short list of transferable techniques.

03

How NorthPrep uses model responses

Writing practice can include model responses at multiple levels alongside your saved answer and AI-assisted feedback. This makes comparison concrete: you can see how added specificity, clearer organization, or more controlled language changes the response without treating a sample as a script.

Questions learners ask

Short, honest answers

Use these answers to shape a realistic practice plan and understand what NorthPrep can—and cannot—do.

Should I memorize a model email?

No. Memorized content may not fit the reader, purpose, or instruction points. Learn flexible organization and useful language patterns instead.

Why compare samples at different levels?

Comparison helps reveal changes in clarity, detail, control, and organization that are harder to notice when reading one polished response alone.

How soon should I write after studying a sample?

Write a fresh response soon afterward. Immediate application shows whether you understood the technique or only recognized it while reading.
